Set up your organisation

Create your firm's workspace by adding your business name, logo, GSTIN, and address. This becomes the foundation of your Mysanchalan account — all projects, quotations, and invoices will carry your firm's identity.

What you'll do

  • Enter your firm name and type (Interior Design / Contractor / Builder)
  • Add your GSTIN and registered address
  • Upload your logo (used on PDF exports)
  • Set your default GST rate and currency

Pro tip: Your branding automatically appears on all quotation and invoice PDFs you share with clients.

Step 0210 minutes

Invite your team

Add team members and assign them specific roles. Each role has predefined access — project managers see everything, site supervisors see their assigned projects, and subcontractors see only relevant scopes.

What you'll do

  • Invite team members via email or phone
  • Assign roles: Admin, Project Manager, Designer, Site Supervisor
  • Team members accept invite and log in
  • Admins can adjust or revoke access at any time

Pro tip: You can add subcontractors as limited-access users — they see only what's assigned to them.

Step 0310 minutes

Create your first project

A project is the central unit in Mysanchalan. Everything — BOQ, quotations, invoices, files, and team assignments — lives inside a project. Creating one takes under 10 minutes.

What you'll do

  • Enter client name, contact, and project address
  • Define project type (residential, commercial, fit-out, new build)
  • Set start date, target end date, and estimated value
  • Assign project manager and team members

Pro tip: You can create the project first and add BOQ and quotations later — the order is flexible.

Step 0420–45 minutes

Build your BOQ and quotation

Build a detailed bill of quantities with category-wise breakdown — civil, flooring, electrical, plumbing, false ceiling, and custom categories. Then generate a professional quotation directly from the BOQ. Every revision is version-tracked.

What you'll do

  • Create BOQ with categories and line items
  • Enter quantities, units, and rates per item
  • System auto-calculates subtotals and grand total
  • Generate quotation from BOQ — branded PDF ready to share
  • Client approves → version locked → approval documented

Pro tip: When scope changes happen, create a new quotation version. The old version is archived — not deleted.

Step 05Ongoing

Execute the project

Once the project is underway, your team updates progress in real time. Milestones are marked complete by site supervisors. Files and drawings are uploaded against specific milestones. You see everything from one dashboard.

What you'll do

  • Milestones updated by site supervisor from mobile
  • Site photos and approvals uploaded to the project record
  • Progress percentage calculated from milestone completion
  • Client can view progress via read-only portal (Growth and above)

Pro tip: You don't need to be on site to know what's happening — your dashboard shows it in real time.

Step 065 minutes per invoice

Invoice and close

Raise invoices tied to project milestones. The system knows which milestones are complete and which have already been invoiced. Track payment status, send reminders, and get notified when invoices become overdue.

What you'll do

  • Create invoice linked to a specific milestone
  • GST-ready invoice auto-populated from project data
  • Share PDF with client via email or link
  • Record payment when received
  • Mark project complete and archive

Pro tip: All invoices, BOQs, drawings, and approvals remain accessible even after the project is completed — for your records and future reference.
